Welcome to arkiplan.co.uk. This privacy policy outlines the types of personal information we collect when you use our services, as well as some of the steps we take to safeguard it.
Information we collect
Personal information. We may collect personal information such as your name, email address, and phone number when you sign up for our services, request a quote, or communicate with us via email.
Non-personal information. We collect data like your IP address, device type, and usage information for analytics and improving our services.
Cookies. We use cookies to enhance your experience on our website. Cookies are small data files that we store on your device.
How we use the information
1) To provide our services to you.
2) To improve our website and services.
3) To send periodic emails or newsletters.
Calls after your project
If you have been our client, our office team may phone you to:
- ask for an honest Trustpilot review, if your project finished in the last 12 months;
- ask for photos of your finished build, if your planning was granted in the last 4 years. We offer a £30 voucher for photos only, never for a review;
- introduce a builder from our trusted network who is interested in your project.
We use the name, number and project details we hold from working with you. Our lawful basis is legitimate interests: building our reputation, showing our work and helping clients get projects built. We call on weekdays between 9am and 6pm, always show our number and say who we are.
Sharing your details with a builder you agree to
We only pass your details to a builder if you say yes. We share your name, phone, email, project address and a short description of the work. Our lawful basis is your consent, and we note when you gave it. The builder is then responsible for how they use your details. If you change your mind, tell us and we will let the builder know.
Recording and transcribing calls
We record and transcribe calls for training and quality, and to keep an accurate note of what was agreed. We tell you at the start of each call. Our phone and transcription providers act on our instructions. We keep recordings and transcripts for 90 days, unless needed for a complaint or dispute. Our lawful basis is legitimate interests. If you would rather not be recorded, tell us.
Builders and business contacts we find ourselves
To grow our builder network, we find builders on public trade directories, review sites and business listings. We collect the business name, contact name, business phone, email, website, area, type of work, public reviews and ratings, and call notes, and phone to invite you to join. Our lawful basis is legitimate interests: finding reliable builders for our clients. We check numbers against the Telephone Preference Service (TPS) and Corporate TPS first. When we first contact you, we will say where we found your details and point you to this notice. If you do not join, we delete your details within 12 months, apart from any do-not-call entry.
Your right to object, and how
You can object at any time to marketing, including these calls. This right is absolute: if you object, we stop. Say “please don’t call me again” on any call, reply STOP to any text, or email gemma@arkiplan.co.uk. We apply your objection to every channel: phone, text and email. You can also object to other uses based on legitimate interests, such as recording; we will stop unless we have a compelling reason, which we will explain. You can complain to the ICO at ico.org.uk.
How long we keep our do-not-call list
If you ask us not to contact you, we keep only your name, phone number, email, the date and how you told us. We keep this for as long as we make calls or send marketing, so we never contact you again by mistake.
Third-party services
We may employ third-party companies to facilitate our services, such as email providers or analytics companies. These third parties have limited access to your personal information and are obligated to keep this information confidential.
Security
We take reasonable precautions to protect your personal information. However, no method of transmission or storage is 100% secure.
Changes to this privacy policy
We reserve the right to modify this privacy policy at any time. Changes will be posted on this page with an updated “Last Updated” date.
